Terms and Conditions

    Terms & Conditions

SUBMISSION OF A FORM CONSTITUTES AN AGREEMENT OF THE FOLLOWING TERMS & CONDITIONS.

Focus is a self-catering, six day, teaching week away for the congregations of Holy Trinity Brompton, church plants and invited friends.

    1. Pre-registration is essential.

Submission of the booking form does not constitute a confirmed registration. Guests will be contacted as soon as possible to inform them of the status of their booking. Guests will be advised at this time if they have been placed on a waiting list. Guests arriving at Focus without a confirmed booking will not be admitted.

All new bookings and changes to existing bookings must go through the Focus office. Places in unit bookings may be transferable but only at the approval of the Focus office.

Any guests discovered on-site without a booking will be asked to leave. Please note that only the guests listed on the confirmation of an on-site booking may occupy the accommodation. If any other person/persons are found in occupation, they will be asked to leave the site immediately and no refunds will be given.

Before we can finalise your booking and reserve your accommodation we will need the names, email addresses, mobile numbers, postal addresses and ages of all members of your party. In order to ensure guests’ needs are catered for adequately, we will need to know whether anyone in your party has any special needs, including restricted mobility or access requirements.

    2. Bookings will not be accepted without the necessary deposit.

A deposit of £50 per person is due upon completing the booking form. HTB reserves the right to turn down any guests who do not fall into the criteria for whom Focus is available. In such cases, the deposit will be refunded. Applications received after 29th February 2012 will not be accepted without the full payment.

    3. All guests under the age of 18 must be accompanied by an adult.

Please note that all children and youth remain the responsibility of their parents or guardians at all times except when they are with their age-group leaders. By agreeing to the Terms and Conditions you are accepting this responsibility.

    4. Full payment is due by 29th February 2012.

Failure to pay by this date may result in the loss of the booking.

    5. Cancellations must be made in writing.

Individuals (those who have booked their own room; to share a room in a caravan; their own camping pitch or an off-site place) who cancel their booking before 29th February 2012 will be given a full refund of their deposit or full amount paid.

Guests who book a whole caravan or a camping pitch with more than one person will only be given a refund if they cancel the entire unit. A full refund will be given if the unit is cancelled before 29th February 2012.  Should an individual within the unit cancel, the others can either fill the vacant place or increase their per head cost. A refund will not be given in this case.

Reallocation of cancelled units is through the Focus office only. However, cancellations within a unit can be filled by the group provided the Focus office is informed of the change. Alternatively, if requested, the Focus office can attempt to fill the space but can make no guarantee that it will be possible.

The following sliding scale of cancellation charges will apply:

    Until 29th February 2012

    None (full refund given)

    Until 1st June 2012

    Deposit forfeited

    Until 1st July 2012

    50% booking fee

    From 15th July 2012

    100% booking fee

    6. Minor alterations

Every care is taken to ensure that all the information provided in the Information Booklet is accurate at the time of going to press. Guests will be informed of any changes to the programme via the Focus website and upon arrival at the event.

Alterations such as the withdrawal of certain amenities, facilities, activities and entertainment may be made by Haven or HTB for reasons beyond our control without any obligation or liability.

    7. Limitation of Liability

HTB shall not be liable in any way for any failure to perform our obligations or for any loss, damage or delay incurred by the guest resulting from circumstances beyond our reasonable control.

    8. Infectious or contagious illnesses

Guests must inform the Duty Manager on-site of the occurrence of any illnesses during their stay that may affect other guests. In order to protect other guests and employees, anyone with an infectious or contagious illness may be asked to remain in their accommodation or, under extreme conditions, requested to leave.

    9. Care of facilities and personal items

Please treat your holiday property and park facilities with care so that others may continue to enjoy them. We ask that you report any accidental damage to Reception immediately so that they can make a repair or replacement. Accommodation is inspected at the end of every stay and you may be charged for any loss or damage.

HTB and Haven will not be held liable for any loss or theft of personal belongings. Guests are reminded that Haven is an open site and are encouraged to care for their own belongings. Please report any loss or theft to Reception immediately so that any necessary action can be taken.

    10.  Filming and Photography

There will be official photographers and video crew on-site and guests may feature in these images. Images may be used on the Focus website, in promotional material or other HTB printed material. Please note that this includes children. Should you prefer that any photographs of your child are not included in any official publications, please advise the Focus office in writing in advance of the week.

    11. Pets

Focus guests are not allowed to bring pets on-site, with the exception of guide dogs for the blind, dogs for the deaf and assistance dogs for people with disabilities. Please contact the Focus office should you need to bring an assistance dog on-site. Guests bringing pets on-site without permission will be asked to remove them immediately.

    12.  Wristbands

As one of our safety measures, we operate a wristband policy and these are issued to guests upon arrival at the event. It is vital that you wear your wristband at all times whilst at Focus. Guests without wristbands will not be granted entry to any venues and will need to request a replacement from the Focus office.

    13. Smoking

All inside venues and accommodation at Focus are strictly non-smoking. Smokers over the age of 18 may smoke outside.

    14. Drugs

We have a zero-tolerance policy on drugs. Anyone found in possession of illegal substances will be sent home immediately and may be prevented from coming to future events.

    15. Unacceptable behaviour

We reserve the right to terminate a holiday without compensation where unreasonable or anti-social behaviour, caused by those persons named on their booking, or their guests, impairs the enjoyment, comfort or health of other guests.

We reserve the right to escort any individual off the site.
